Starting PowerPoint - What is a Presentation?  What is a Slide?

PowerPoint is a program that combines multiple forms of media (text, graphics, sound, movies).  PowerPoint files are called presentations or slide shows.  Each "page" is a slide.

1.      Open PowerPoint from the Start Button (Choose Programs and then look for the Power Point icon).

2.      Choose Blank Presentation.

3.      Choose the first slide in the first row in the Slide Layout window (called Title Slide).

4.      Make sure the Formatting, Drawing and Standard toolbars are open (choose the View menu and select Toolbars if they are not).

Selecting text and objects on a slide

1.      Look at the Title Slide you selected.  There are two objects on this slide (the objects are textboxes). 

2.      The first object is labeled "Click here to add Title".  To add text to a textbox object, click anywhere in the textbox object.  We are making a slide show about an animal of your choice (animal web sites at end of handout).  Please click in the title box and type a title for your presentation.

3.      Click outside of the text box you were just typing in.  The boxes and lines around the box should disappear.  To change the text in the box or add more, you need to first select the textbox by clicking any of the text in the text box.  The text cursor should appear (if it does not, try clicking in the box again). 

4.      You edit/delete text on a slide just like in a word processor.  First select the text by dragging over the text.  Now type the new text or press the backspace key to totally delete the text.

Deleting objects

1.      Click inside the sub title box.

2.      Hash marks (\\\\) should appear around the box.  Point to the hash marks and left click once.  The marks should change to dots.

3.      Press the delete key on keyboard.

Adding clipart/graphics to a slide

1.      Use the insert clip art button on the Standard toolbar or choose Picture from the Insert Menu.

2.      Click on the clip art graphic.

3.      Choose the Insert menu option (top option).

4.      You can now resize your graphic by pointing to the white boxes and dragging once a two-sided arrow mouse pointer appears.

5.      To move the graphic point to the middle or edge and when a four-sided arrow mouse pointer appears drag the graphic to its new location.

6.      If you do not find a clipart you like, click the Clips Online button to go to Microsoft’s clipart web site.  Follow the instructions listed at the site to download more clip art.

Saving a presentation

1.      The Save command is located on the Standard Toolbar and in the File Menu.

Save the presentation to the Desktop.  Name the file All about Me.

Adding new slides, deleting slides and moving between slides in the Slide View

1.      Insert a new slide using the new slide button (looks like a white rectangle with a sparkle at the corner on the standard toolbar) and double click on the Title Only layout slide (in the third row).

2.      Add a title.  This slide will have some facts about your animal.

3.      Add a clipart graphic (Use the insert clip art button on the Standard toolbar or choose Picture from the Insert Menu).

4.      The Previous Slide and Next Slide buttons are located in the lower right corner of the vertical scroll bar.  Click the Previous Slide button to go back to the first slide you created.  Now go back to the second slide.

5.      To delete the current slide open the Edit Menu.  Select the Delete Slide command.

6.      Click the Undo button (on Standard toolbar, looks like blue arrow curving to the left).  You can undo most actions.

Basic text formatting

1.      Highlight the presentation title.  To change the font size, text color and the font type, open the Format Menu and choose Font.  You can also change these attributes from the Formatting Toolbar.

2.      If you want to change ALL text in an object, you can select the entire object. Click inside the title box.

3.      Hash marks (\\\\) should appear around the box.  Point to the hash marks and left click once.  The marks should change to dots

4.      Try the Increase Font button (looks like a large capital A) and Decrease Font button (looks like a small capital A).

Aligning text and objects

1.      Select the Title textbox.  The text alignment buttons are on the Formatting toolbar.  Try different alignments.

2.      Select your clipart graphic.

3.      On the Drawing toolbar, click Draw, and then point to Align or Distribute.

4.      If Relative to Slide is selected, click the alignment option you want.

5.      If Relative to Slide isn't selected, click it, click Draw again, point to Align or Distribute, and then click the option you want (try center).

Adding more slides

1.      Insert a new slide using the new slide button (looks like a white rectangle with a sparkle at the corner on the standard toolbar) and choose the Text and Clip Art layout.

2.      Add a title.  This slide should have a few more facts about your animal.

3.      Change the color and font size of the items you listed.

4.      Place the mouse pointer in the clip art box and left double click.  You can now add a clip art graphic.

Changing the layout of a slide

1.      If you want to switch the clip art box with the text box there are two ways.

2.      Point to the box's edge until you have the 4-sided arrow mouse pointer and drag the box to its new position.

3.      OR, choose Slide Layout from the Format Menu and click on a new layout.  The layout will automatically be applied.

Working with bulleted slides

1.      Add a bulleted list slide using the new slide button (looks like a white rectangle with a sparkle at the corner on the standard toolbar). 

2.      List a few reasons why you picked this animal.

3.      Change the size of the text (remember to select the text first).

4.      Select the textbox with the bulleted items and point to the Increase Paragraph Spacing button on the Format toolbar (has black lines and a blue arrow pointing up).  This will change the spacing between the bullets.

1.      To change the bullet for just one line, place the blinking cursor on the bulleted line to be changed.

2.      Choose the Format Menu and select bullet

3.      Pick the symbol you want (to see more symbols change the font type)

4.      Color and font size of bullet can also be chosen here

5.      Highlight all of the bulleted lines to change the bullet for the entire slide.

Changing the background color of a slide and objects

1.      Make sure you are still at the Why I Like My Animal slide.

2.      From the Format Menu choose Background.

3.      Below the Background Fill box is a drop down menu button.  Use this to change the color or type of background.  Click the Apply button to change only the current slide.

4.      Select left box.  Point to the edge of the box and right click

5.      Choose Format AutoShapes.  Make sure the Colors and Lines Tab is selected.

6.      Click on the drop down menu in the Fill area and choose a color.

7.      Click on the drop down menu for the Line area and choose a color.  Click OK.

Adding lines and AutoShapes to a slide

1.      Add a Title Only slide.  This will be about the sounds your animal makes.

2.      Click on the AutoShapes button located on the Drawing toolbar.  Choose a shape.

3.      The shape is just like a graphic.  You move it and resize it the same way you would a graphic.

4.      To add text, you must point to the edge of the shape (make sure you have a four-sided arrow) and right click.  Choose Add Text from the menu.  Type in the shapes the sounds your animal makes.

5.      You can change to color of the AutoShape using the Fill Color button (looks like a paint bucket) found on the Draw Toolbar.

6.      You can draw a line using the line button on the Draw toolbar.  Right click on the line and choose Format AutoShape to change the color, thickness or type of line.  Try adding some lines and lines with arrowheads.

Viewing Your Slide show

1.      Choose the View Show from the Slide Show Menu

2.      Left click to move from slide to slide.  Or point to the lower left corner and click the triangle button that appears.

3.      There are also keyboard shortcuts to move through a show.

You can press F1 during a slide show to see a list of commands.

Printing Your Slide Show

1.      Select Page Setup from the File Menu to set printing options

2.      Select Print from File Menu

3.      Look at the options in the Print What box at the bottom of the menu to print slides, handouts, notes or outlines

4.      Use Send To from the File Menu for other printing options.
